JOB SUMMARY
The Records Associate is accountable for the timely pickup, storage, maintenance and destruction of records and non-records in the BSWH Central Records program.
ESSENTIAL FUNCTIONS OF THE ROLE
- Processes the transfer, retrieval, and destruction of records. Accurately matches number of boxes with locations for orders. Processes orders to be delivered or returned to and from departments. Ensures each destruction box is destroyed in accordance with established procedures.
- Following BSW processes, and in compliance with applicable privacy and confidentiality laws and regulations, ensures the integrity and availability of records stored within the Centralized Records Facilities.
- Loads trucks safely, securing all items for travel and ensuring load meets all government regulations. Observes road safety procedures, utilizing all available safety devices and procedures.
- Accurately delivers supplies/equipment/other items to specified locations within established timeframes. Engages in problem solving processes to respond to requests in a fast-paced environment.
- Performs all relevant warehouse functions, including but not limited to lift truck operation, pallet jack operation, reach truck operation.
- Uses appropriate technology (including telephone, fax machine, email, spreadsheets) to communicate with customers and to locate records.
- Performs basic maintenance of vehicles, lift equipment and warehouse facilities as needed.
- Retrieves bulk records, documents and other paper and film-based items, storing or preparing for destruction.
- Follows the BSW Business and Record Retention Policy, and in conjunction with applicable department leadership, review and prepare for destruction records that have completed their retention period.
- Prepares delivery, movement, reissue, disposal or retention, and bar coding of capital equipment.
KEY SUCCESS FACTORS
- Knowledge of HIPAA, state law and other medical privacy regulations
- Must maintain a Valid Texas Driver's License and good driving record
- Customer-service focus with good communication skills and attention to detail
- Continuous physical exertion is required, such as walking/pushing/climbing and lifting material or equipment of heavy weight (> 50 lbs.)

QUALIFICATIONS
- EDUCATION - H.S. Diploma/GED Equivalent
- EXPERIENCE - 1 Year of Experience
