Job Summary

The Records & Enrollment Specialist supports the Transcripts, Certification, and Diploma Department by providing academic and administrative services to students, staff, parents, external agencies, and the public. The role requires strong organizational skills, meticulous attention to detail, and a commitment to delivering exceptional customer service. You will report to the Assistant Registrar for Transcripts, Certification and Diploma.

Reporting to the Provost and Executive Vice President for Academic Affairs, the Office of Enrollment Management (OEM) manages U-M's enrollment function to efficiently optimize students' experiences throughout their engagement, from prospect to alumni. The division collaborates with campus partners, faculty, and staff, in support of the university's mission and commitment to academic quality, accessibility, diversity, equity, and inclusion.

OEM comprises a dedicated team of more than 200 full-time staff members, and up to 400 additional student and temporary staff and is structured in five operational units - the Office of Undergraduate Admissions, the Office of Financial Aid, the Office of New Student Programs, the Office of the Registrar, and OEM Administration. OEM strives to provide excellence in access and support to diverse and inspiring learners who will challenge the present and enrich the future.

Responsibilities*

Primary responsibilities include: 

  • Process transcript requests, including uploading academic records to the Parchment Transcript Ordering System for electronic delivery.
  • Complete credit card transactions, create UPS overnight shipping labels, and maintain daily log sheets.
  • Research and resolve flagged orders in Parchment's Transcript Ordering platform.
  • Provide exceptional customer support by interpreting and applying academic regulations, rules, and policies.
  • Handle high volumes of calls using Zoom Phones and emails through the TeamDynamix ticketing system.
  • Assist special investigators with transcript orders and inquiries.
  • Address diploma-related inquiries, release holds on orders, and process replacement diploma requests.
  • Research and post degree and enrollment data to the National Student Clearinghouse for third-party verifications.
  • Complete a variety of enrollment verifications, including attendance, degree details, GPA, class rankings, academic standing, and tuition charges.
  • Collaborate with other U-M departments to process professional licensing forms and respond to disciplinary inquiries.
  • Process eligibility forms for U-M Club Sports teams.
  • Handle requests to reveal letter grades for courses taken on a Pass/Fail grading basis.
  • Collect, sort, and distribute incoming mail and faxes for the Office of the Registrar.
  • Retype and copy academic records for imaging.

Required Qualifications*

  • Associate's degree or equivalent combination of education and experience.
  • Demonstrated ability to perform multiple tasks with high accuracy and attention to detail. 
  • Positive customer service-oriented attitude.
  • Ability to work both independently and collaboratively as a team member.
  • Experience working with a diverse population.
  • Proficiency in Microsoft Office applications. 
  • Strong verbal and written communication skills
  • Experience handling confidential information with discretion.

Desired Qualifications*

  • Experience and/or familiarity with Oracle PeopleSoft Student Administration system.
  • Knowledge of FERPA and other federal/state laws and regulations related to higher education.
  • Demonstrated ability to adapt to new practices to enhance workplace efficiency.
  • Proven capability to prioritize and meet deadlines in a high-volume work setting.
  • One year experience working in an office environment. 

Modes of Work

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.

The Office of Enrollment Management requires a hybrid work arrangement of minimally three days on-site and two remote days. Thursdays are required as an on-site work day for all members of the OEM team.
