The Office Manager is responsible for overseeing day-to-day administrative tasks within the Brunswick office, including managing supplies, handling incoming communications, maintaining filing systems, and providing general support to staff. The Office Manager will provide a full range of administrative support to a business unit to TNC Maine. They will perform various administrative tasks, including some or all the following: sorting and distributing mail, answering phones, organizing, and maintaining files, purchasing, maintaining equipment, and working with vendors and our landlord. They will work cooperatively with Conservancy staff, providing information necessary to make decisions and solve problems. The Office Manager may communicate on behalf of their supervisor with internal and external sources, including staff, donors, vendors, and businesses to coordinate arrangements, convey information, and ensure successful execution of program.

This is an in-office part time position requiring 18-20 hours per week. Full benefits are available for those interested in 20 hours/week.

This position will:

  • Act as office representative with our landlord to ensure the office is running effectively including electric vehicle charger issues, facility issues, parking, vehicles, and storage unit issues. Share landlord notices with staff
  • Maintain all office systems and equipment with communication to vendors
  • Project manage the care of Conservancy-owned vehicles including setting up gas cards, EZPasses, and insurance cards
  • Create and communicate policies and procedures
  • Manage/monitor phone reception effectiveness
  • Act as reception for the office during events and meetings
  • Perform mail distribution
  • Acts as the Safety Lead for the BU, managing the Emergency Procedures
  • Track leaseholder Payments in internal database
  • Process incoming checks with Development staff - electronically deposit and scan for Development staff
  • Make day-to-day decisions within the scope of work assignments and prioritize work independently
  • Demonstrate sensitivity in handling confidential information
  • Serve as a team member for assigned projects
  • Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain

WHAT YOU'LL BRING
  • Associate's degree plus 1-year experience or equivalent combination.
  • Experience managing diverse activities to meet deadlines.
  • Experience providing administrative support, including some or all the following: phones/customer service, mail distribution, equipment maintenance, coordinating travel arrangements and meetings, or organizing files.
  • Experience working and communicating with a wide range of people.
  • Experience writing, editing, and proofreading written materials.

SALARY INFORMATION

The starting pay range for a candidate selected for this position is generally a $27 hourly rate for annual base salary. This range only applies to candidates whose country of employment is the USA. Where a successful candidate's actual pay will fall within this range will be based on a variety of factors, including, for example, the candidate's location, qualifications, specific skills, and experience. Please note countries outside the USA would have a different pay range in the local currency based on the local labor market, and not tied to USA pay or ranges. Your geographic location will be confirmed during the recruitment.
