Job Summary

The Office of the Dean in the College of Literature, Science, and the Arts (LSA) is seeking an Operations Project Manager. The Operations Project Manager will play a role in supporting the Dean's Office administrative, operational, and strategic functions. The role will work closely with the executive leadership team to ensure that the Deans Office is supported with the full range of available resources.

Key characteristics of this position include providing strictly confidential and professional administrative support while exercising a high level of initiative, discretion, and attention to detail. While working in a fast-paced environment, the individual handles complex duties and interacts with all levels of the College, University, and external stakeholders. The ability to manage multiple projects with concurrent deadlines, work well as a team member and independently, and provide excellent customer service are essential. Flexibility, mature judgement, dependability, and excellent interpersonal, organizational, communication, and time management skills are key attributes of a successful candidate.

This is a hybrid position. When working onsite, you will work from our office in the LSA building in Ann Arbor, Michigan. We are looking for candidates willing to work a hybrid work schedule with four days onsite and the opportunity for one day of remote work per week. The target salary for this position is between $65K - $82K. Candidates with a history of exceeding job performance expectations may qualify for a higher salary.

Responsibilities*

Project Management - 40%

  • In consultation with senior leaders, design and implement strategies for continuous improvement in office operations, program alignment, and staff development.
  • Lead the creation of process improvement and projects, managing engagement of cross functional teams and cross functional areas.
  • Manage the implementation of new processes including protocol development, resource production, and staff training.
  • Lead special projects on behalf of the leadership team.
  • Maintain effective communication and feedback channels with program and project leadership to keep projects aligned with goals.
  • Prepare status reports, risk management assessments, and other routine business process reports and documentation.

Operations Administration - 40%

  • Provide high-level planning support and material creation for senior leaders including, but not limited to, development of agendas, proposals, deck assembly, and creation of schedules.
  • Create presentations including data visualizations and talking points for a variety of audiences.
  • Develop and maintain systems and trackers to ensure that deadlines are met and materials are received on a timely basis.
  • Manage and execute internal communication routines. 
  • Maintain files, correspondence, and documentation in an organized and confidential manner. 
  • Develop and maintain strategies for managing information across multiple systems (DropBox, Google Suite, etc).
  • Provide support for special events and projects as needed. 

Maintain LSA Dean's Office Electronic Presence - 10%

  • Support the LSA Deans front office in maintaining select pages on the LSA Deans office website and Deans office-related pages on the LSA gateway (the college-wide intranet).

Other Duties as Assigned - 10%

  • Perform other duties as assigned to support the long-term goals and objectives of the Deans office.
  • Work as a team with highly skilled staff in a fast-paced environment and foster a positive and engaged community.

    Required Qualifications*

    • Typically requires a Bachelor degree or an equivalent combination of education and experience.
    • At least two years of demonstrable experience successfully managing projects of moderate scope and complexity.
    • Excellent written and verbal communication skills, including the ability to clearly articulate project goals, provide regular updates, and facilitate productive meetings.
    • Demonstrated ability to identify, analyze, and resolve project issues and risks proactively. This includes critical thinking skills to evaluate options and make sound decisions.
    • Proven ability to work effectively with cross-functional teams, build consensus, and foster a collaborative environment. This includes strong interpersonal skills and the ability to motivate and influence others.
    • Ability to adapt to changing project requirements, priorities, and deadlines. This includes a willingness to learn new skills and embrace new challenges.

    Desired Qualifications*

    • Proficiency with project management software and tools (e.g., MS Project, Jira, Asana) and other relevant software as needed for the specific industry or project type.

    Modes of Work
