The role:
Join our Region 4 headquarters in Bend! As our office specialist, you will provide secretarial, office and administrative services to managers and employees. We’ll teach you what you need to know to become knowledgeable in agency operations, the Statewide Transportation Improvement Program (STIP) cycle and project delivery, and the agency’s administrative functions. Region 4 implements programs and projects initiated through the Statewide Transportation Improvement Program (STIP) and has three areas of focus: regional planning, project delivery and tech center, and operations and maintenance. Come join our approximately 380 employees in Region 4!
This is a limited duration appointment that is expected to end after approximately one year or sooner. Limited duration appointments are benefits eligible and have a designated maximum length of service. This position has the potential to become permanent.

A day in the life:
Perform reception, administrative, business and clerical support independently for the region office.
Maintain manager’s calendars and schedule meetings, conference rooms, vehicles, video conferences and other needs.
Process and complete all crew and operational invoices through our internal systems.
Process incoming and outgoing mail.
Make travel arrangements.
Prepare paperwork for personnel actions and position updates.
Assist with the recruitment and hiring process.
Process fleet records and prepare asset inventories.
Serve as the contact for building visitors, answer the phone, transfer calls, take messages and answer questions from the public, other agencies and offices.
Work is performed in an office environment and may require overtime and occasional travel.

Through an equal pay assessment, we will determine the salary offer using the information you provide in your submitted application materials. The salary range listed is the non-PERS monthly salary range. If you are already a participating PERS member or once you become PERS eligible, the salary range will increase by 6.95%.

Minimum qualifications:
Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents.
OR
An associate degree in any field.
OR
An equivalent combination of education and experience.

Experience performing clerical functions at a technical or secretarial level in an office setting which includes working with Microsoft Office software (Word, Outlook, Excel).
Experience processing certified mailings.
Experience with accounts payable processing.
Experience with scheduling or planning meetings.
Experience communicating verbally and in writing with a variety of people, answering questions and gathering and exchanging information.
