Job Summary
We are looking for an experienced professional with proven ability to function at a high level to act as a liaison between the multidisciplinary physician leaders, clinical partners and FCVC Call Center for all aortic patients referred to the Frankel CVC MI-AORTA Program. You will assist with a wide scope of duties to ensure safe, effective, and efficient care for this patient population. The ideal candidate is a highly organized self-starter providing overall administrative support for the MI-AORTA Program. Representing the Frankel Cardiovascular Center, you will also exhibit outstanding customer service focus while promoting our core values.

Responsibilities*
- Provide administrative support to program leaders. Attend programmatic meetings and retreats. Prepare meeting agendas, take minutes, follow-up on action items from various meetings to ensure deadlines are met, and send follow up reminders as requested.
- Organize and facilitate all aspects of case discussions, invited speaker series, and other special events related to the program.
- Create and maintain content for MI-AORTA website.
- Partner with health professionals to create programmatic, educational and marketing materials.
- Track program metrics and contribute to drafting program progress reports.
- Manage directed phone calls from internal and external customers related to their aortic disease, referring to the FCVC Call Center and/or medical professional whenever medical guidance is requested.
- Monitor and coordinate aortic providers with planning for clinic schedules/grids, complex scheduling of diagnostic testing, pre-post procedure scheduling, OR case scheduling and room utilization, as well as coordination with clinical research requirements. Partner with respective departments to ensure accuracy in scheduling of all aortic patient appointments.
- Communicate with the patient to confirm appointment dates and times. Partner with the patient on their overall care and successful navigation of our health system.
- Coordinate with physicians, clinical staff, and outside institutions to procure proper outside medical records for patients. Ensure retrieval, review, and audit of medical record intake for accuracy and completeness. Deliver accurate and efficient support in acquiring and uploading all pertinent medical records/images into Michart and associated clinical applications.
- Anticipate and problem solve issues with clinic and ancillary testing schedules and resolve in a timely manner.
- Provide support for travel booking for program leaders.
- Order supplies for specific program needs.
- Other duties as assigned.
Required Qualifications*
- High school diploma or equivalent combination of education and professional experience.
- Experience navigating EPIC electronic medical record (EMR) systems.
- Familiarity with obtaining medical records or professional medical billing.
- Knowledge of basic medical terminology.
- Demonstrated customer service excellence and attention to detail.
- Ability to work well independently as well as collaboratively within a team setting.
- Strong organizational, problem-solving and prioritization skills.
- Ability to multi-task and work in a high-volume area.
- Demonstrated active listening, verbal, written and information technology communication skills.
- Demonstrated ability to interact with a diverse population.
- Demonstrated record of excellent attendance and reliability.
- Must be very comfortable working with computers and have a general knowledge of office practices.
- Requires flexibility in all aspects of work assignments.
Senior level:
4+ years progressively responsible experience in an administrative support role.Intermediate level:
2 to 4 years progressively responsible experience in an administrative support role.Desired Qualifications*
- Bachelors degree preferred.
- Experience working within a large, complex outpatient healthcare setting.
- Prior experience with coordinating complex scheduling.
- Demonstrated proficiency with MiChart, LifeImage, Prosolve, Syngo Dynamics and Microsoft suite, and ability to navigate between systems.
- Previous experience working with clinical staff (nurses, mid-level providers, and physicians).
- Working knowledge of cardiology/vascular/cardiac surgical terms, testing and procedures.
- Previous experience requesting and uploading/imaging medical records.
- Familiarity with Financial Counselor referral process for healthcare patients.
- Knowledge of shipping and mailing methods, speeds, and web applications.
- Knowledge of University policies and procedures.
Work Schedule
This position is Monday-Friday, with a potential for a hybrid work schedule (3 days onsite, 2 days remote). Fridays are required as an on-site workday for this role, with once per month requiring a 6:30 start time. Additionally, there are 1-2 annual events that may take place on a weekend.

Background Screening
Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.
