Executive Assistant – Transmission Operations & Policy
This position will be located at APC HQ – Birmingham, AL
JOB SUMMARY
This position will provide executive support for the Southern Company Services (SCS) Vice President (VP) of Transmission Operations & Policy (TOP). The Executive Assistant position requires extensive experience supporting an officer or manager in a corporate environment. In addition, this position requires exceptional organizational and decision-making skills for primary purpose of coordinating the VP’s calendar and travel, and prioritizing activities. This position will be privy to confidential information and must be able to maintain confidentiality. The person in this role must exemplify “Our Values” and be a team player with exceptional working knowledge of computer office applications. This person will be an integral member of the TOP leadership team and an executive assistant team.
JOB REQUIREMENTS
Education
- High school diploma required
- Associate or bachelor’s Degree preferred
- Executive assistant/secretarial/administrative certification (Certified Administrative Professional or similar) a plus
Experience:
- Minimum of 5 years of experience providing administrative support in a busy, high-volume office, preferably with executive level support in a corporate environment or relevant work experience in a similar environment.
- Demonstrated experience managing confidential information on behalf of the executive and management team is critical.
- Demonstrated experience with timekeeping, expense reporting, arranging travel and coordinating meetings, as necessary.
- Experience managing senior/executive level calendars and email traffic.
- Demonstrated initiative in day-to-day responsibilities.
- Demonstrated teamwork skills.
Knowledge & Skills:
- Ability to professionally represent the office of the Transmission Leadership Team, including professional interactions with other executives, managers, peers, department employees, external industry executives, Southern Company operating companies, and customers.
- Ability to prioritize, multi-task, organize, meet deadlines, make decisions and support the needs of an officer and the leadership team with minimal supervision and direction.
- Effective teamwork skills. Ability to collaborate closely with senior managers and administrative staff. Ability to build and maintain relationships with executive support across the Southern Company system.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office products, including Outlook, Teams, PowerPoint, Word and Excel.
- Proficiency in Oracle or similar type program for time, expenses, and invoice entry and processing.
MAJOR JOB RESPONSIBILITIES
- Managing the VP’s calendar, travel needs and expenses.
- Monitoring the VP’s mailbox and proactively prioritizing requests and ensuring awareness of daily activities and requests.
- Coordinating activities across the TOP leadership team.
- Managing and prioritizing internal and external industry meetings along with developing meeting materials including travel information, agendas, and other documentation.
- Providing additional support to the Transmission organization and Operations as needed.
