Your Role:  
The Executive Assistant will provide high level executive administrative support to our CEO and his SVP, Chief of Staff. The ideal candidate will act as a strategic partner, ensuring seamless coordination of day-to-day activities while maintaining the highest level of confidentiality and efficiency. This position is Hybrid with the expectation of working onsite at our Walnut Creek office 3-4 days/week with some remote flexibility the remaining days.
Your Work:

• Manage and coordinate Executive calendars, including scheduling meetings, appointments, and travel while ensuring the CEO's schedule is optimized for efficiency and productivity.

• Anticipate needs and be one step ahead to organize, remind, prioritize, and manage time and projects to meet all deadlines.

• Proofread documents, messages, presentations while ensuring that grammar and spelling are correct, and formatting and brand standards are consistent.

• Handle sensitive and confidential information with the highest level of discretion and professionalism.

• Prepare presentation materials for Board of Director meetings. Prepare agendas and notices, for corporate meetings and coordinate follow up with meeting participants on tasks/issues as appropriate.

• Comfortable interacting with clients who may include external senior executives and the Board of Directors.

• Write correspondence on behalf of the senior executives. Respond to external correspondence. Type memos, purchase requisitions, payment requests and other department forms and documents.

• Organize programs, events, meetings or conferences by arranging facilities including site and room management, and caterers, issuing information or invitations, negotiating vendor contracts and controlling event budget.

• Initiate space requests with facilities when internal meeting space is needed and coordinate with the Meeting, Events, Travel team when hotel space is needed.

• Manage catering, restaurant reservations, beverage needs, coordination of catering delivery, etc. for onsite meetings/gatherings and select in-person gatherings. Includes supporting other ELT leader needs due to limited EA presence onsite.

• Collaborate, network, and influence the Executive Assistant community.

• Serve as back up for other EA's as required, including managing calendar, coordinating travel arrangements, and meeting/event planning.

• Travel as needed for role, including divisional / team meetings and other in-person meetings.

Required Experience, Education and Skills

• 5+ years Executive Assistant experience supporting senior level executives.

• Bachelor's Degree

• Advanced skills in Microsoft Word, Excel and PowerPoint system applications.

• Highly proficient written and verbal communication skills.

• Ability to act independently and demonstrate effective conflict resolution skills in developing recommendations and solutions to solve complex issues in an effort to anticipate senior executive needs.

• Very detail oriented with the ability to plan, prioritize and execute multiple concurrent activities.

• Exceptional organizational and time management skills.

• Highly proactive with the ability to connect the dots across business priorities.

• Strong skills in developing effective relationships, communication skills, managing expectations in a fast-paced organization across all levels.

• Ability to make sound, independent decisions and use own initiative to accomplish tasks at hand.

• A keen interest and curiosity in the Property and Casualty Insurance industry, along with a commitment to continuous learning and engagement.

• Previous experience supporting a CEO a plus.

The salary range for this position is $115,000 - $130,000. This role also includes an opportunity for a company-wide annual discretionary bonus, through our Annual Incentive Plan (AIP), of up to 10% of eligible pay.
