Executive Assistant to the CEO (Hybrid)
A Houston PR agency is seeking an EA to join its team. This role is 40-hours a week and hybrid with the expectation to be in the office whenever the CEO is.
This is a high-impact role supporting the CEO of a dynamic and fast-growing public relations firm. The ideal candidate is a highly organized, proactive, and resourceful individual with excellent communication and interpersonal skills. This position requires a strong work ethic, the ability to handle confidential information with discretion, and a proactive approach to problem-solving.
The idea candidate is someone who has either served as an assistant to high-level executives for 5+ years or someone who has spent their career in PR or communications and might be ready to step out of leading and developing comms strategy and take on a role supporting a CEO in an industry they have served for so long.
Key Responsibilities include...
Executive Support:
- Manage the CEO's calendar, schedule meetings, and coordinate travel arrangements
- Screen and direct phone calls and emails
- Prepare and disseminate meeting materials, presentations, and reports
- Take accurate and detailed meeting minutes
- Conduct research and compile information as needed
- Handle expense reports and other administrative tasks
Project Coordination:
- Assist with special projects as assigned by the CEO, including but not limited to:
- Event planning and logistics
- Client relationship management support
- Business development initiatives
- Team coordination and communication
Communication & Client Relations:
- Maintain strong and professional relationships with clients, colleagues, and external contacts
- Draft and proofread correspondence, including emails, letters, and presentations
- Represent the CEO professionally in all interactions
Operations & Administration:
- Maintain office supplies and equipment
- Assist with office management tasks as needed
- Ensure efficient and smooth office operations
Qualifications:
- Bachelor's degree or equivalent experience
- Excellent organizational and time management skills with the ability to prioritize tasks effectively
- Strong written and verbal communication skills with impeccable grammar and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with project management systems, i.e. Monday.Com, a plus
- Discretion and ability to handle confidential information with the utmost sensitivity
- Proactive and resourceful problem-solving skills
- Strong work ethic and ability to work independently with minimal supervision
- Positive and professional demeanor with a strong customer service orientation
- Enjoys working in a fast paced and challenging environment
In this position, you may have access to client or customer systems, confidential and/or proprietary information or data. This position is onsite and requires you to work closely with other individuals in a collaborative team environment.
