As the Litigation Department Coordinator, you will work with the Business Unit management teams and, to a lesser extent, the Leaders of the practices, to implement and administer the policies, procedures and specific initiatives of the business units. The major purpose and end result is to help ensure the smooth functioning of the Business Units.


What You Will Do:

• Overseeing the administrative details relating to Business Unit and Legal Practice Area meetings, trainings and special events (scheduling, logistical planning, distributing invites and materials, populating firm calendars and web pages, as appropriate).
• Building and maintaining organizational and reporting tools used to track personnel, clients, matters, KM projects and other relevant practice area data.
• Coordinating with the key administrative groups in the firm (Finance, IT, KM, Marketing, Catering, Conflicts, Talent Acquisition and Learning & Professional Development) to ensure the execution of priority initiatives in a timely and effective manner.
• Working with key personnel in all offices to create a sense of cohesiveness among members of the Business Unit.
• Maintaining robust practice area web pages and updating KM files regularly.
• Maintaining accurate and up-to-date action item checklists for various Business Unit committees.
• Providing support for virtual, web-based events and logistical, local event support when offices re-open.
• Managing the process for sending invites, which includes maintaining attendee lists, coordinating with the graphics team to produce and send electronic invitations. The coordinator will also need to work closely with the Events team to book venues or secure vendors for virtual programs.
• Attending various meetings and special events to keep abreast of developments within the Business Unit.
• Helping field and assist with general BU and practice area information requests from attorneys and staff and, as needed, routing requests to appropriate PM or Business Law Department personnel.
• Researching and tracking relevant industry trends.
• Developing a strong understanding of essential firm technologies such as iManage, MS Teams, Rainmaker, Expert, and Foundation.

Who You Are:

• Bachelor’s degree required.
• Experience working independently is ideal.
• Strong organizational skills, attention to detail and the ability to prioritize workload.
• Sophisticated computer skills, particularly with Excel, PowerPoint and HTML, as well as the ability to learn and keep current with various software packages.
• Ability to handle pressure, extended hours, if requested, and work on multiple projects and changing priorities.
• Superior interpersonal and communication skills, a professional demeanor and the ability to interact effectively with all levels of firm personnel.
• Sound judgment and creative problem solving skills, and the ability to respect, protect and maintain highly confidential and sensitive information.
